One payout, many transactions – and the bank statement tells you nothing

GoCardless collects direct debits into a balance and pays it out in bundles. One payout contains dozens of payments, deducted fees, failed debits, chargebacks and refunds. On your bank account you only see the total.

On top of that, GoCardless does not issue invoices. The invoice comes from your invoicing software, the payment from GoCardless – and both have to meet in DATEV via the invoice number. By hand that means: export payout reports, match items, back out fees, reverse chargebacks. Every month.

Bundled payouts

One transfer bundles many payments, fees and chargebacks without any individual reference.

No receipts, no VAT

GoCardless provides neither invoice PDFs nor VAT data for a payment – the invoice lives in your invoicing software.

Open items by hand

Without the invoice number in the entry, every debtor has to be cleared manually.

Every GoCardless transaction – cleanly booked

  • Every payout broken down into its items

The date the payout arrives on your bank account is decisive. finHero books every item individually: collected payments, failed debits, chargebacks, refunds, returned refunds, fees and the payout itself – the GoCardless account nets to zero per payout.

  • Invoice number in Belegfeld 1

finHero extracts the invoice number from the payment reference ("Firma GmbH RE-1234" becomes "RE-1234") or uses your own pattern. DATEV then matches the payment to the open item automatically.

  • Fees separate, partner fees optionally on their own account

GoCardless fees, surcharge fees and partner app fees are booked to your fee account – VAT on fees reported by GoCardless is noted on the entry as additional information. With one checkbox, partner fees go to a separate account with their own booking key.

  • Revenue rows according to your taxation method

Under accrual taxation (default) finHero books no revenue – the invoices come from your invoicing software. If the invoices are not in DATEV or you use cash-basis taxation, finHero books the revenue rows too, with the appropriate date.

💡

GoCardless provides no invoice PDFs and no VAT data for a payment – the export therefore contains no receipt export. GoCardless only provides the items of payouts from the last 6 months; export promptly or enable the monthly auto-export.

GoCardless & accounting – briefly explained

What is GoCardless?+

GoCardless is a payment provider for direct debits: merchants and software vendors use it to collect SEPA Direct Debits (and Bacs, ACH etc. in other countries) from their customers. GoCardless collects the amounts into a balance and transfers them in bundles as a payout to the merchant's bank account. GoCardless does not issue invoices – it is the collection and payout layer, not the invoicing software.

Is finHero an official GoCardless partner?+

Yes. finHero is an official GoCardless partner. You connect your account through the finHero partner app directly at GoCardless – with your GoCardless login, read-only access and no API key to copy.

Can GoCardless be exported directly to DATEV?+

GoCardless offers payout reports, but no ready-made DATEV booking batch. finHero reads the payouts via the GoCardless API, breaks them down into items, assigns accounts and generates the import-ready booking batch for DATEV, BMD, bexio or Abacus.

How do I connect GoCardless to finHero?+

In the settings, click "Connect with GoCardless" and sign in at GoCardless. finHero only receives read access (scope read_only); the access token is stored encrypted. No API key has to be copied, and the connection can be removed at any time.

Which period is exported?+

The date a payout arrives on your bank account is decisive. All payouts with an arrival date in the chosen period are booked with all their items – so every payout entry matches the line on your bank statement.

How are chargebacks and failed debits booked?+

As a separate entry debtor to GoCardless account, with the same invoice number in Belegfeld 1 as the original payment. Under cash-basis taxation, or if the invoices are not in DATEV, finHero also books the revenue reversal. The open item is reopened as a result.

Where does the invoice number in Belegfeld 1 come from?+

From the payment reference or description in GoCardless. Automatically, finHero takes the last part of the reference that contains digits. If that does not fit, you store your own pattern (regular expression) with a live preview on your real references. If no number is found, the GoCardless payment ID is used.

Does the export contain invoices or receipts?+

No. GoCardless provides no invoice PDFs, so there is no receipt export. Under accrual taxation no revenue is booked either – the invoices come from your invoicing software into DATEV, and the GoCardless payment clears them via the invoice number.

How are GoCardless fees booked?+

Each fee is booked individually to your fee account, assigned to its payment, with your fee booking key. If GoCardless reports VAT on the fee, the amount is noted on the entry as additional information "USt auf Gebühr". Partner app fees can optionally be booked to a separate account.

Are there limitations?+

GoCardless only provides the items of payouts from the last 6 months – older payouts can no longer be broken down. Export promptly or enable the monthly auto-export. There are also no invoice PDFs and no VAT data for payments.

What does "GoCardless SAS" on the bank statement mean – and how do I book the credit?+

GoCardless SAS is GoCardless's European entity based in Paris, through which merchants in the EU are paid out. A credit "GoCardless SAS" on your bank statement is therefore a payout of your GoCardless balance. It is booked bank to cash-in-transit account – the items behind it (payments, fees, chargebacks) are booked by finHero from the GoCardless API against the same cash-in-transit account, so it nets to zero per payout.

"GoCardless debit" – why does GoCardless appear on my customers' bank statements?+

Because GoCardless collects the direct debit on the merchant's behalf: on the payer's statement GoCardless (or GoCardless SAS) appears as the submitter, together with the mandate reference and the payment reference, which ideally contains the invoice number. For you as the merchant the same debit is a collected payment inside the GoCardless payout – finHero books it GoCardless account to debtor with the invoice number in Belegfeld 1.

Is GoCardless reputable? What about reviews?+

GoCardless is a regulated payment provider that has been collecting direct debits for businesses since 2011; in the EU it operates through the French entity GoCardless SAS. finHero does not rate GoCardless and collects no reviews – we provide the accounting for it. What matters for you: the data GoCardless delivers via its API is sufficient for a complete, reconcilable booking batch.
