What “Stripe Payments to DATEV” actually means

Stripe Payments covers all payments that are made once rather than through a subscription. For accounting purposes it doesn't matter which route the customer used to pay – what matters is that every payment arrives in DATEV traceably, together with its fee, refund and payout.

Stripe Checkout

Stripe's hosted payment page, often embedded in online shops, SaaS landing pages or booking flows. Every completed session creates a payment with its own ID.

Payment Links

Payment links without any custom programming – typical for coaching, workshops, prepayment or selling via social media. From an accounting perspective, every payment is a separate sale.

Payment Intents & API

Custom checkout flows, apps or marketplaces that talk to Stripe directly via the API. Invoices are often missing in Stripe here, because your own system issues them.

E-commerce & digital products

Shop plugins, ticketing, downloads and online courses. Many small amounts, different payment methods and occasional refunds – this is exactly where manual bookkeeping becomes tedious.

Stripe Payments or Stripe Billing – what's the difference in DATEV?

Both end up in the booking batch via the same logic. With subscriptions, however, invoice runs, prorated charges and accruals come on top. If you mainly sell subscriptions, also read the guide on Stripe Billing to DATEV.

Payment methods in Stripe Payments and how they affect the DATEV booking

For bookkeeping, the payment method matters mainly because of timing, fees and the risk of reversals. Using rules, finHero can book customers to different accounts by payment method if your tax firm wants that.

Cards

The payment is confirmed immediately and Stripe deducts the fee directly. Later chargebacks are possible and are recorded as a separate booking.

SEPA Direct Debit

The payment only becomes final after a few days. A returned direct debit reverses the sale – visible in the export as a separate, referenceable booking.

Wallets

Apple Pay, Google Pay and similar wallets are technically processed like card payments in Stripe in most cases and are booked the same way.

Other methods

Local payment methods follow the same logic: payment, fee, refund if any, payout. You define the account together with your tax firm.

What a month of Stripe Payments looks like in the DATEV booking batch

A simplified example based on SKR03: a card payment via Checkout, a SEPA direct debit via a Payment Link, a partial refund and the payout. All movements run through the cash-in-transit account (Geldtransitkonto) 1360, which is at zero after the payout.

  • Gross revenue to 8400 (revenue 19 % VAT), offsetting account cash-in-transit 1360
  • Stripe fees per payment to 4970 (incidental costs of monetary transactions)
  • Refund as a separate booking referencing the original payment
  • Payout €324,86 = €357,00 revenue − €2,39 fees − €29,75 refund

Account numbers are typical standard accounts – agree the specific account assignment with your tax firm. In SKR04 they correspond to 1460, 4400, 6855 and 1800.

Refunds, chargebacks, fees and payouts with Stripe Payments

The real work rarely lies in the payment itself, but in everything that happens afterwards. These cases should be cleanly separated in your export.

Refunds

Full or partial refunds reduce revenue and are exported as a separate booking referencing the original transaction ID. The Stripe fee already paid is usually not refunded – it remains as an expense.

Chargebacks (disputes)

If a customer disputes a card payment, Stripe debits the amount plus a dispute fee. If you win the case, the amount is returned. finHero books the debit, the fee and any repayment separately.

Stripe fees

Stripe deducts the fee per transaction directly and pays out net. To keep revenue and expenses correct, the fee is booked separately on a gross basis rather than netted. Details in the article Booking Stripe fees.

Payouts

A payout bundles many payments. It is booked against the cash-in-transit account, so that the bank transaction corresponds exactly to one Stripe payout and the transit account is balanced.

Please agree with your tax firm how the fees of Stripe Payments Europe (based in Ireland) are to be treated for VAT purposes.

Invoices and receipts for one-time payments in DATEV

Every booking needs a receipt. For one-time payments this isn't automatically a Stripe invoice – depending on your setup, the receipt is created in Stripe or in your shop system.

  • finHero exports invoices, credit notes and cancellations from Stripe as PDFs
  • Every receipt is linked to the matching booking via the transaction ID
  • A receipt list shows your tax firm which receipt belongs to which booking entry
  • If your shop issues the invoices, the order number in the booking text helps with matching
Tip: Agree with your tax firm which system is the leading invoice issuer for one-time payments. Otherwise, duplicate invoices from the shop and Stripe cause confusion when matching receipts.

Converting foreign currencies correctly with Stripe Payments

If you sell internationally, customers pay in USD, GBP or CHF. For booking in euros, finHero converts each sale at the ECB reference rate on the receipt date and stores the rate used – so the conversion remains reproducible at any time.

Example: A customer pays USD 100,00. At an assumed ECB rate of 1,0850 USD per euro on the receipt date, the sale is booked at €92,17. Stripe converts the payout at its own rate, so the euro amount paid out may differ slightly – clarify with your tax firm how such exchange-rate differences are booked.

Exporting Stripe Payments to DATEV – step by step

This is how a month of one-time payments gets into DATEV – whether you prepare it yourself or automate it.

Built manually from Stripe CSV exports, this process is error-prone: fees are missing, refunds end up in the wrong month, foreign currencies are converted at the wrong rate. More on importing into DATEV in the guide Importing Stripe into DATEV.
  1. 1Define accounts with your tax firmRevenue accounts by tax rate and country, cash-in-transit account, fee account, bank – as well as individual debtors or a collective debtor account.
  2. 2Choose the periodUsually one calendar month. Retroactive exports for earlier months or years are also possible.
  3. 3Separate payments, fees, refunds and disputesEvery movement becomes its own booking entry with the Stripe reference in the booking text.
  4. 4Book payouts against cash-in-transitEvery payout balances the transit account and can be matched with the bank transaction.
  5. 5Check against the balance reportThe export must match the Stripe balance report for the period – finHero checks this automatically with every export.
  6. 6Hand over booking batch and receiptsYour tax firm imports the booking batch (CSV in DATEV format) and the PDF receipts into DATEV.

FAQ: Stripe Payments to DATEV

Which Stripe payments count as Stripe Payments?

All one-time payments that don't come from a subscription – for example via Stripe Checkout, Payment Links, custom integrations via Payment Intents or shop plugins. Subscription invoices from Stripe Billing are covered in a separate guide.

Is each payment booked individually or as a total?

finHero books payments, fees, refunds, chargebacks and payouts as separate, referenceable bookings. This way every booking can be traced back to the original transaction via its Stripe ID.

Do I need an invoice from Stripe for every one-time payment?

Not necessarily. What matters is that there is a receipt for every payment. Whether it comes from Stripe or from your shop system is something you decide with your tax firm. finHero exports invoices, credit notes and cancellations from Stripe as PDFs and links them to the booking.

How are returned SEPA direct debits booked?

A returned direct debit reverses the original payment. It appears in the export as a separate booking referencing the original payment, as does any fee incurred.

What happens with a chargeback?

Stripe debits the disputed amount and a dispute fee. Both are booked separately. If you win the dispute, the repayment is also exported as a separate booking.

How are payments in foreign currencies converted?

At the ECB reference rate on the receipt date. finHero stores the rate used so that the conversion remains traceable and reproducible later on.

Can I export earlier months retroactively?

Yes. Exports can be created retroactively for past months and years, for example when the bookkeeping needs to catch up.
